Roles & Permissions
Not everyone on the team needs the keys to the whole playbook. UltiStackr uses role-based access to make sure owners, coaches, and managers have the tools they need — while players get a clean, focused experience without settings they don’t need to worry about.
Account Access vs. Team Roles
During beta, every UltiStackr account also has an account access level:
- Player access is the default for new accounts. Player accounts can join teams and use player-facing workflows.
- Coach access is unlocked with a coach access code and is required to create teams.
Account access is separate from a person’s role inside a specific team. A team owner or manager can assign team roles for that team, but changing someone’s team role does not grant account-level Coach access or generate coach access codes.
Role Hierarchy
Each team has four roles, arranged in a clear hierarchy:
Owner
└── Team Manager / Coach
└── Member- Owner sits at the top with full control over the team.
- Team Manager and Coach are at the same level — they both have elevated permissions, but with slightly different focuses.
- Member is the default role for players who join the team.
Role Breakdown
Owner
The person who created the team. There’s always exactly one Owner per team.
What Owners can do:
- Everything a Coach and Team Manager can do, plus:
- Delete the team entirely
- Transfer ownership to another member
- Change any member’s role, including promoting someone to Coach or Manager
- Access the Danger Zone in Team Settings (Owner-only; other settings are accessible to Coaches and Managers too)
Ownership can be transferred to another team member from Team Settings, but the recipient must already have account-level Coach access. Transfer does not unlock Coach access for them.
Team Manager
The administrative backbone of the team — handling rosters, scheduling, and organizational tasks.
What Team Managers can do:
- View and edit the full roster
- Add and remove players
- Change player statuses and roles (except Owner)
- Manage team events and calendar
- Log game stats and manage game-day lineups
- Send announcements
- Manage invite links
- Configure lines and player assignments
- Access player profiles and contact info
- Add notes and scouting reports
What Team Managers cannot do:
- Create or edit playbooks, practice plans, or drills — these are Coach and Owner only
Coach
The tactical brain — focused on performance, strategy, and player development.
Coaches can do everything a Team Manager can do — roster management, events, game stats, announcements, and changing member roles. On top of that, Coaches get full access to the content library:
- Create and edit playbooks and plays
- Build and manage practice plans and drills
This makes Coach the most capable non-owner role for on-field preparation.
In many teams, the same person acts as both Coach and Manager. You can assign whichever role best fits each person’s responsibilities — or give coaching staff the Coach role and a dedicated team organizer the Manager role.
Member
The default role for players on the team.
What Members can do:
- View the playbook (read-only)
- Create personal playbooks in their own library
- View practice plans and schedules
- View their own profile
- Participate in team chat
- RSVP to events
- View the roster and team info
- Edit their own player profile
What Members cannot do:
- Share playbooks with the team or edit team playbooks
- Add or remove players from the roster
- Change team settings
- Log stats for other players
- Post in the Announcements channel (by default)

Team Managers can change roles for other members, but they cannot promote someone to Owner or remove the Owner. Only the current Owner can transfer ownership, and only to a member who already has account-level Coach access.
Changing a Member’s Role
To change a team member’s role:
- Navigate to your team’s Roster tab.
- Open the member’s profile or click the more options menu on their roster entry.
- Click Change Role.
- Select the new role from the dropdown (Owner, Coach, Team Manager, or Member).
- Confirm the change.
Who Can Change Roles?
- Owners can change anyone’s role, including promoting someone to Coach or Manager.
- Coaches and Team Managers can change roles of other members, but cannot change the Owner’s role.
- Members cannot change anyone’s role, including their own.
When you promote a Member to Coach inside a team, they’ll immediately gain that team’s playbook editing and practice planning tools. This does not grant account-level Coach access for creating other teams.
Multiple Coaches and Managers
Teams can have as many Coaches and Team Managers as needed. There’s no limit. This is useful for:
- Large club teams with an assistant coach, a stats coordinator, and a team logistics manager
- Youth or school programs where multiple adults share coaching responsibilities
- Tournament teams where different people handle different aspects of preparation
