Event Notifications

Nobody wants to be the person who forgot about practice. UltiStackr automatically sends notifications to keep your team informed about upcoming events, RSVP deadlines, and schedule changes — so coaches can focus on coaching instead of chasing down RSVPs in the group chat.

Automatic Notification Types

UltiStackr sends four types of event-related notifications automatically. No setup required — they’re on by default for every team.

New Event Notification

When: Immediately after a new event is created.

All eligible players on the roster receive a notification that a new event has been added to the calendar. The notification includes:

  • Event type (Practice, Game, Scrimmage, or Tournament)
  • Date and time
  • Location
  • A prompt to RSVP

This ensures nobody misses a newly scheduled event, even if they don’t check the calendar regularly.

24-Hour Reminder

When: 24 hours before the event start time.

A reminder goes out to all players who RSVP’d Going (or who haven’t responded yet). It includes:

  • Event name and type
  • Date, time, and location
  • Current RSVP count (e.g., “14 going, 3 not going, 5 pending”)

This gives players a heads-up to pack their bag, check the weather, and confirm logistics.

1-Hour Reminder

When: 1 hour before the event start time.

A final reminder for players who RSVP’d Going. This one is short and direct:

  • Event name
  • Start time
  • Location

Think of it as the “wheels up” alert — grab your cleats and your disc, it’s go time.

RSVP Reminder

When: 48 hours before the event, but only for events that are more than 72 hours away when created.

This notification targets players who haven’t responded to the RSVP yet. It’s a gentle nudge to commit or communicate:

  • Event name, date, and time
  • A prompt to respond Going or Not Going

The 72-hour creation window prevents RSVP reminders from firing for events created last-minute. If you create a practice tomorrow afternoon, players won’t get a redundant RSVP nudge — they’ll just get the new event notification and the 24-hour reminder.

Notification Timeline

Here’s how the notification flow looks for a typical event:

Event created (e.g., Monday) └─ New Event Notification → All roster players 48 hours before event (e.g., Wednesday, if event is Saturday) └─ RSVP Reminder → Players who haven't responded (only if event was created >72h before start) 24 hours before event (e.g., Friday evening) └─ 24-Hour Reminder → Players who are Going + not responded 1 hour before event (e.g., Saturday morning) └─ 1-Hour Reminder → Players who are Going Event starts └─ (No notification — time to play!)

Change Notifications

When an event is updated after creation, UltiStackr notifies affected players about the change. Specifically:

  • Date or time changes — All players who RSVP’d Going are notified, since the change directly affects their schedule.
  • Location changes — All players who RSVP’d Going are notified, so they head to the right field.
  • Event cancellation — All players who RSVP’d Going are notified immediately.

Other changes (notes, focus tags, practice plan updates) do not trigger notifications to avoid alert fatigue.

Notification Delivery

Event notifications are delivered through UltiStackr’s notification system, which includes:

  • Push notifications via your web browser
  • In-app notifications in the notification center
  • Email (optional, based on player preferences)

Players can configure their notification preferences in their account settings. For details on notification preferences and delivery channels, see Notifications.

Even if a player turns off push notifications, they’ll still see alerts in the in-app notification center. Encourage your team to keep push notifications on for events — it makes a real difference in RSVP rates and attendance.

Notification Behavior by Role

Notifications respect the season roster. If a player is hidden from a season’s roster (see Season Roster), they won’t receive notifications for events in that season.

All other roster members receive notifications regardless of their role (coach, captain, player). Coaches and captains receive the same event notifications as players — everyone benefits from reminders.

Tips for Coaches

  • Create events early — The earlier you create an event, the more time the notification system has to collect RSVPs and send reminders. Creating events at least a week out gives players ample time to plan.
  • Check RSVP counts after the RSVP reminder fires — 48 hours before the event is a great time to review who still hasn’t responded and follow up personally if needed.
  • Use bulk event creation — When you set up a season’s worth of practices at once, all the new event notifications go out right away. Players can RSVP to the whole slate in one session. See Creating Events for details.
  • Don’t rely solely on notifications — For high-stakes events like tournaments or playoff games, a message in the team chat adds a personal touch that a system notification can’t match.
