Bulk Operations
When you’re setting up a team with a full roster or scheduling a season of practices, doing everything one item at a time can slow you down. UltiStackr supports bulk-friendly workflows for invitations, event creation, and library cleanup.
Bulk Invitations
After you add roster entries, you can send invitations to multiple players at once.
Sending Bulk Invites
- Navigate to Team Settings > Roster.
- Filter the roster to show players who haven’t accepted their invitation yet.
- Select the players you want to invite, or tap Select All.
- Tap Send Invitations.
- Each selected player will receive an email invitation to join the team on UltiStackr.
Players who already have UltiStackr accounts can join the team directly. Players without accounts will receive an invitation email with a link to sign up and join.
Invitation Best Practices
- Give your team a heads-up. Send a message in your existing group chat letting players know they’ll receive an invitation from UltiStackr.
- Include context. When possible, explain why the team is using UltiStackr and what players should do when they sign up.
- Follow up on stragglers. Check back after a few days and resend invitations to players who haven’t accepted.
- Use the team invite code as a fallback. Share your team’s invite code or full invite link directly in a group chat or email for players who missed the invitation.
Bulk Event Creation
Scheduling an entire season of practices one at a time is tedious. Bulk event creation lets you generate recurring events in a few clicks.
Creating Recurring Events
Recurring events are created through the Bulk Event Wizard in the season planner, not via the standard event creation form.
- Navigate to your season’s Season Planner.
- Open the Bulk Event Wizard.
- Fill in the event details: title, type, time, location, and notes.
- Configure the recurrence:
- Frequency: Weekly, biweekly, or custom
- Days: Select the days of the week
- End date: Choose when the series ends
- Tap Create to generate all events in the series.
Example: Season Practice Schedule
To set up a Tuesday/Thursday practice schedule for a 12-week season:
- Open the Bulk Event Wizard from your season planner.
- Create a practice event for Tuesday at 6:00 PM.
- Set it to repeat weekly on Tuesday and Thursday.
- Set the end date to 12 weeks from the start.
- UltiStackr generates 24 practice events on your calendar.
Each event in a recurring series can be edited individually. If one Tuesday practice moves to Wednesday due to a field conflict, you can edit just that occurrence without affecting the rest of the series.
Attaching Practice Plans to Recurring Events
You can attach different practice plans to each event in a recurring series. This lets you map out a progressive practice curriculum across the season:
- Open an individual event in the series.
- Attach a specific practice plan.
- Repeat for other events as needed.
Pair this with the Curriculum feature to ensure your practice plans align with the playbooks your team is actively learning.
Bulk Playbook Operations
UltiStackr supports several efficiency features for managing playbooks at scale:
Batch Share/Unshare
- Select multiple playbooks from your library.
- Tap Share with Team or Remove from Team to update their visibility in one action.
Duplicate Playbooks
- Duplicate an existing playbook as a starting point for a new one.
- Use duplicates for variations, such as “Zone Offense v1” and “Zone Offense v2” for different matchups.
Tagging and Filtering
- Apply tags to multiple playbooks at once for easier organization.
- Filter your playbook library by tag, type, or share status.
Importing Existing Team Data
If you’re migrating from another tool, spreadsheet, or shared drive, here’s a recommended approach:
Migration Checklist
- Add your roster manually or through direct invitations.
- Send invitations to get everyone on the platform.
- Recreate your schedule using bulk event creation for recurring practices and games.
- Rebuild key playbooks in UltiStackr’s playbook editor. Start with your core offensive and defensive sets.
- Migrate notes and documents into UltiStackr’s Notes system, using appropriate folder permissions.
There’s no one-click migration from other platforms, but bulk invitations and bulk event creation cover the most repetitive setup work.
