Tournament Events
Tournament events group the roster, attendance, game logs, and preparation material for a tournament day or weekend.
Use a tournament event when your team needs more than a single calendar entry. It gives coaches and managers one place to prepare the tournament roster, track who is present, create linked game logs, and keep relevant playbooks close at hand.
Creating a Tournament Event
Create a tournament event from your team’s schedule:
- Open the team Schedule tab.
- Select New Event.
- Choose Tournament as the event type.
- Add the start and end dates, time, location, season, and notes.
- Save the event.
For a multi-day tournament, use one tournament event that spans the full date range. UltiStackr keeps RSVP and check-in records for each day inside that event.
Tournament Roster
The tournament roster lets staff choose which players are part of that event without changing the full team roster.
From the tournament roster tab, you can:
- Add players from the team roster or season roster.
- Compare each candidate’s overall RSVP, days going, and per-day availability before adding them.
- Sort by availability or use Select all going to select everyone who is going on at least one day.
- Use tournament-specific overrides for jersey number, line, role, or availability.
- Remove a player from the tournament roster without removing them from the team.
- Review whether a value comes from the tournament roster or the season roster.
Tap a candidate’s day count to review their day-by-day response and any reason they gave for a Maybe or Out day. This breakdown is read-only in the roster picker; update the response from the Attendance tab or team attendance matrix.
If a selected player has declined every tournament day, the roster shows an availability warning. Changing an RSVP never adds or removes someone automatically, so staff stay in control of the final roster.
Tournament roster changes are scoped to that tournament event. Use the main roster when you need to change the player’s long-term team record.
Tournament Attendance
Tournament attendance is tracked separately from normal event attendance so players can share availability and staff can check in the selected roster for each tournament day.
Use tournament attendance to:
- Respond Going, Maybe, or Out for the whole tournament, then change individual days when availability differs.
- Review the number of days each player is going and the availability breakdown for each day.
- Start check-in for a day and seed the selected roster from its RSVPs: Going becomes Present, while Out becomes Excused.
- Mark selected players Present, Late, Excused, or No-show once check-in has started.
- Preserve attendance history after the event is complete.
Players can update only their own RSVP while a day is still accepting responses. Owners, coaches, and managers can update any eligible player’s RSVP and can start or undo check-in. A player must be selected on the tournament roster before staff can record their check-in status.
The team-wide Attendance matrix offers the same whole-tournament and per-day editor without leaving the matrix.
Tournament Games
Create game logs from the tournament event when you want the games tied back to that event.
Tournament game logs can capture:
- Opponent name.
- Scheduled game date, time, and location.
- Game format.
- Tournament division and ratio rule inherited from the tournament event.
- Line and player selections.
- Final score and point history.
Pending tournament game logs can be started from the event detail, and saved logs remain connected to the tournament for later review.
If point logging has already started, format changes are locked so the saved point history remains consistent.
Linked Playbooks
Use the playbooks tab to keep tournament-specific preparation material near the event. You can link team playbooks or individual plays that staff may need during the weekend.
Linked playbooks are references to the team’s existing library content. Create or update the playbook in the team Library, then link it to the tournament event when it is relevant.
Recommended Workflow
- Create the tournament event and assign it to the correct season.
- Ask players to enter their whole-tournament or per-day availability.
- Build the tournament roster from the availability shown in the player picker.
- Start each day’s check-in and confirm attendance as players arrive.
- Create each game log from the tournament event.
- Link the plays or playbooks staff expect to use.
- Review saved game logs and attendance after the tournament.
